Call customers who missed their consultation, within the hour
When someone misses or cancels a booked consult, such as a hearing consult, a showroom video call or a design appointment, a Loop Voice agent can call within the hour and text your booking link so they can pick a new time.
Calendly events became Loop Voice flow triggers on Sep 21, 2026.

The short answer
A no-show recovery call reaches someone who booked a consultation and missed it or canceled, within the hour, and texts your booking link so they can choose a new time on your calendar. In Loop Voice it runs as a flow that starts from Calendly: a no-show your team marks on the meeting, or a cancellation. Our September 2026 benchmark doesn't cover consultation flows, so there are no rebooking rates to publish; the numbers to track are below.
What a call sounds like

Illustrative conversation
Agent
“Hi Linda, it's Alex, an AI assistant calling from [Store]. If you'd rather not get these calls, just say stop. You had a consultation booked with us today, and it looks like we missed each other. Want me to text you the link to pick a new time?”
Customer
“Oh no, I had it down for tomorrow. Yes, please send it.”
An illustration, not a recording. Real calls are in the call library.
Booking a consultation takes intent, and a missed one doesn't tell you whether the intent is gone. A rebooking email lands among everything else that day; a call within the hour asks directly, while the missed time is still fresh, and leaves the booking link on the customer's phone.
When it works, and when to skip it
Works well for
- Consultations that come before a high-ticket purchase: a hearing consult, a showroom video call for furniture, a measuring appointment for made-to-measure blinds, a ring appointment for jewelry.
- Event types whose booking form collects a phone number and a tick agreeing to calls and texts (calling rules).
- Teams that mark no-shows in Calendly soon after the start time, because the mark is what starts the call.
- Calendars with open times in the coming days, so the link has something to offer.
Skip it for
- Short intro calls anyone can book in a click: an email with the link costs less than a call.
- Meetings your own team canceled. Calendly sends a cancellation either way, so check how the flow treats one before launch.
- Customers with an open complaint or a problem order: that's a conversation for your team.
- Invitees who didn't agree to calls, or who asked you to stop.
Set it up in Loop Voice
Ask for the number and the consent
Calendly's default booking form asks only for a name and an email. On each event type that should lead to a call, add a Phone number question and a Checkboxes question with one box, agreeing to calls and texts from your store, AI-voiced calls included. Leave that box optional.
Connect Calendly
In Settings, Integrations, connect Calendly with OAuth and approve Loop Voice on Calendly's own screen. Then check that the no-show and cancellation events show up when you pick a flow's trigger.
Build the flow on the missed meeting
Pick the Calendly no-show as the trigger, or the cancellation. The call follows after a delay that keeps it inside the hour, and an SMS step sends your booking page whether or not they pick up.
Brief the agent
Write a short, blame-free opening, the offer to text the link, and what to do when someone doesn't want to rebook. Load what the consult covers, how long it takes and what to have ready into the knowledge base.
Agree who marks no-shows, then test
Decide who marks a no-show and how soon after the start time. Before the call step goes Live, run three test bookings: cancel one, reschedule one, and mark one as a no-show, then undo the mark. Watch the flow's live tracking for what enters and what leaves.
The settings behind a no-show flow
- Trigger
- A Calendly no-show or a cancellation, one flow each, so the opening can fit what happened.
- Delay before the flow starts
- Short. Calendly offers the mark only after the start time, so a delay of a few minutes still lands the call inside the hour. Give late arrivals their grace period before anyone marks them, not after.
- Calling window
- Calls go out only inside your store's calling hours, in the customer's local time; a no-show marked after the window closes waits until it reopens.
- SMS step
- Your Calendly booking page with the STOP footer. Branded text links (yourbrand.go.loopvoice.ai) put your name in the link.
- Guardrails
- Respect refusals and clear identity as an AI when asked. A customer who has decided against it hears thanks, not a second pitch.
- Transfer to your team
- In support hours, a customer who wants to talk to someone now can be transferred to your team's number, with whoever answers briefed first.
What starts the call
Two Calendly events start this flow: a no-show and a cancellation. A no-show is a mark someone on your team adds: they select Mark no-show in the meeting details, and Calendly offers that only after the scheduled start time (Calendly's no-show guide). No mark, no call, so make marking part of the specialist's routine.
Cancellations need one check. When an invitee reschedules, Calendly sends a cancellation for the original meeting along with the new booking (Calendly's developer docs). Reschedule a test booking and watch the flow's live tracking; if the reschedule enters the flow, launch with no-shows only.
The booking form needs work too. Calendly's default form collects a name and an email, nothing more (Calendly's guide to invitee questions), so without a Phone number question there's no number to call.
Consent comes from the booking form
A call that rebooks a sales consultation is part of selling, so treat it as a marketing call: call only invitees who ticked the booking form's box for calls and texts from your store, AI voice included. Our guide to calling rules covers the wording to check with counsel.
Calendly's consent guide uses a Checkboxes question trimmed to one box, left optional for opt-ins (Calendly's consent guide). Keep call consent optional and word the phone question to match: "Mobile number, if you'd like a call about this meeting." Before launch, book a test meeting with a number but no tick and make sure it stays out of the flow; if it gets in, keep the call step in Draft until it doesn't.
What the agent says
Name the store, say the meeting was missed, offer the link. "It looks like we missed each other" goes down better than "you didn't show up", and it leaves room for the customer to explain.
If they want a new time, the agent texts your Calendly link and they pick from the open times. If they don't, it asks once what changed, thanks them and ends the call. Read the reasons in the call summaries as a list each week: a run of "found it cheaper" says more about your pricing page than your calendar.
For health consults, the call is about the appointment, not the condition. The agent can say what the consult covers and how long it takes, and built-in rules stop or escalate the call when a medical question comes up.
One call, one text, then stop
Example: A showroom video call about a sectional is booked for 3:00 pm. At 3:10 the designer marks the customer as a no-show, the flow waits 15 minutes, and the agent calls at 3:25. Nobody picks up, so the SMS step texts the booking link, and the flow ends there.
That's enough for one missed meeting. A customer who still wants the consult has the link; one who lets a call and a text go by has answered too, and a third message won't change it.
Calendly can email no-shows too: on its Standard plan or higher, Automations can send an email asking them to book a new time (Calendly's no-show guide). Pick one written follow-up, Calendly's email or the Loop Voice text, so a missed meeting doesn't turn into three messages in an hour.
Built for the questions between intent and action
The missed meeting
A short, blame-free opening that names your store and the consult.
The booking link
Texted during or after the call; the customer picks the new time on your Calendly page.
Questions about the consult
What it covers, how long it takes and what to have ready, from your knowledge base.
A no that sticks
The agent takes the first no, and any reason the customer gives is in the call summary.
No published no-show results yet, so measure your own
Loop Voice's September 2026 benchmark doesn't cover consultation flows, so there are no rebooking rates to publish. Track these on yours:
- Rebooked
- Customers who booked a new time within a week of the missed meeting, counted from your Calendly bookings.
- Reached
- Customers who picked up, out of everyone the flow called.
- Link clicks
- Texted booking links that were opened, from the SMS log.
- Reasons
- Why customers missed or canceled, counted from the call summaries.
- Calls after a reschedule
- Calls that reached someone who had already rebooked. Any at all means reschedules are entering the flow.

Common questions
What counts as a no-show in Calendly?
A meeting someone on your team marked as one. In Calendly you select Mark no-show in the meeting details, and the option appears only after the scheduled start time. That mark starts the Loop Voice flow, so an unmarked no-show gets no call.
How soon after a missed consultation should the call go out?
Within the hour, inside your calling hours. Mark the no-show soon after the start time and set the flow's delay so the call lands before the hour is up.
Who picks the new time, the agent or the customer?
The customer, from the link. The agent texts your Calendly booking page, and they choose from the times your calendar shows as open, so your availability stays in one place.
Should canceled consultations get a call too?
Once, when the customer canceled. Calendly also sends a cancellation when someone reschedules, so test a reschedule before launch; if it enters the flow, start with no-shows only.
Which Calendly plan does no-show recovery need?
Marking no-shows works on every Calendly plan, and Calendly's pricing page lists webhooks on every plan too, Free included (Calendly pricing, checked Nov 5, 2026). Calendly's own rebooking emails for no-shows need Standard or higher. Loop Voice connects to Calendly with OAuth from Settings, Integrations.
What if the customer doesn't want to rebook?
The agent asks once what changed, thanks them and ends the call. The reason lands in the call summary, and a customer who says "don't call me" goes on the do-not-contact list before the next step runs.
Do no-show calls need consent?
Treat a call that rebooks a sales consultation as a marketing call, and call only invitees whose booking form records their agreement to texts and AI-voiced calls from your store. Our guide to calling rules covers the wording.
