Call back leads who asked to talk, within minutes of the form

A Loop Voice agent calls people who filled in a "talk to a specialist" form, a quote request or a Calendly routing form, asks what your sales team would ask, answers from your product information and texts the product page or your booking link.

Lead qualification agents that record bookings and contact details shipped on Sep 28, 2026.

    The short answer

Lead follow-up calls reach people who asked you to contact them, within minutes and inside your calling hours. In Loop Voice, a HubSpot contact, deal or lead event, or a form entry sent through Zapier (Calendly routing forms included) starts a flow; the agent asks your qualifying questions, answers from your product information and texts the product page or your booking link. There are no Loop Voice lead follow-up results yet, so this page lists what to measure.

    The call

    What a call sounds like

    Loop Voice agent

    Illustrative conversation

    Agent

“Hi Marcus, it's Alex, an AI assistant calling from [Store]. If you'd rather not get these calls, just say stop. You asked to talk to a specialist a few minutes ago, so I'm calling while you're still looking. What are you shopping for?”

    Customer

“A sauna for the basement. The ceiling's just under seven feet, and I couldn't tell if the two-person model fits.”

An illustration, not a recording. Real calls are in the call library.

    The problem

Someone who asks to talk before buying a sauna, a sectional or an e-bike has a question the product page didn't answer, and they asked it mid-decision. A reply the next day reaches someone who has had a full day to look elsewhere.

    Fit

When it works, and when to skip it

    Works well for

    • High-ticket products people want to talk through first: saunas and cold plunges, sofas and sectionals, e-bikes.
    • Forms with a phone field and an unticked box agreeing to calls and texts from your store, including calls made with an AI voice (calling rules).
    • Sales teams that can't call every form back within minutes: they're on demos, on the showroom floor or gone for the day.
    • A clear next step for a qualified lead: a product page to buy from, or a consultation to book.

    Skip it for

    • Cold leads, bought lists and contacts from someone else's form.
    • Requests more than a few days old: a call about a forgotten form feels like cold outreach, so send an email.
    • Existing customers writing about an order. They need customer support, not a sales call.
    • Leads your team has already phoned: one caller per lead, or the second call sounds like a mix-up.
    Setup

Set it up in Loop Voice

    1. Put consent on the form

Add a phone field and an unticked box that names your store and covers texts as well as calls made with an AI voice, since this flow sends both. Collecting, storing and proving that consent stays with you.

    2. Connect the source

In Settings, Integrations, connect HubSpot (you authorize it on HubSpot, with no API key), Calendly (OAuth) or Zapier for a form app such as Typeform.

    3. Build a short flow

Start from the event that means "call me" and add a delay of a few minutes, a Call step and an SMS step with your link. The text goes out whether or not the lead picked up.

    4. Write the questions and the outcomes

Give the agent three or four questions, what makes a lead qualified, and the link the text carries: a product or collection page, your booking link, or both. Upload spec sheets, delivery terms and install guides to the knowledge base.

    5. Test before the first lead

Run the simulator's skeptical shopper and suspicious-of-AI personas. Then send two test forms with your own number, one with the call box ticked and one without, and check the flow's live tracking: only the ticked one should enter. If both do, keep the call step in Draft and send the form through Zapier with a filter on the box.

Settings that shape a lead call

    Trigger
A HubSpot contact, deal or lead event, or an entry from a form app connected through Zapier. For Calendly routing forms, Zapier's Calendly app has a New Routing Form Submission trigger (Zapier's Calendly guide).
    Delay before the flow starts
A few minutes. Requests that arrive outside calling hours wait for the window to open in the lead's time zone, including the tighter windows Loop Voice applies in seven states.
    Objectives
Start from the sales template and add build trust, confirm understanding and smooth handoff. Leave create urgency off: the lead asked for this call, and pressure turns a consultation into a pitch.
    Guardrails
Turn on clear identity as an AI when asked, respect refusals, no hidden fees and stop on 'human', so the pitch ends the moment a lead asks for a person.
    Transfer to your team
Settings, Support, Transfer to your team. In support hours, a lead who wants a salesperson now goes to your team's number with a briefing; if it rings out (you set 10 to 60 seconds), Loop Voice opens a ticket instead.
    SMS step
Your link with the STOP footer: a product page, a quote page or your Calendly booking page. Clicks show in the SMS log next to the message that carried the link.

Who to call, and who never to call

Call people who asked to be called: they pressed "talk to a specialist", sent a quote request or filled in a Calendly routing form, and left a phone number for that conversation.

Never call cold leads, bought lists or contacts from someone else's form. Take consent from the person, on your own form, with your store's name on it; our guide to calling rules has an example checkbox to adapt with counsel.

Choose a trigger only call-me requests produce. A HubSpot event that fires for every new contact would also catch newsletter sign-ups and imported lists. Loop Voice skips HubSpot events for contacts it can't reach and counts them in a banner; if that count climbs, start by checking that the form still asks for a phone number.

What the agent asks, by product

Write down what your best salesperson asks before recommending anything, and stop at four questions: the ones whose answers change the recommendation. The agent asks them in conversation and answers questions from your knowledge base; you read the answers in the transcript and the call summary.

    • Saunas, cold plunges and hyperbaric chambers: indoors or outdoors, space and ceiling height, the power where it will go, who will use it. Health claims stay within the product's labeling and your pages.
    • Sofas, sectionals and dining sets: room size, the narrowest doorway or stair turn, fabric, and the date they need it by.
    • E-bikes: rider height, distance per ride, where it's stored and charged. The agent gives the bike's class from your product page and leaves local riding rules to the rider.

    Timing, and what happens next

Example: Marcus fills in the form on a sauna page at 2:10 pm on a Tuesday, and the flow calls at 2:13. He mentions the low ceiling; the agent reads the exterior height from the spec sheet you uploaded and says the two-person model won't fit but the compact one will. The text that follows carries your sauna page and your booking link, in case he wants a person's view.

Routing forms need Calendly's Teams or Enterprise plan (Calendly pricing), and Calendly sends a submission whether or not the visitor goes on to book (Calendly's webhook overview). Have the agent ask early whether they already picked a time, and keep those calls short.

A lead who says no isn't chased. A spoken "don't call me" puts the number on the do-not-contact list before the next step runs, and a lead who isn't ready keeps the text and hears nothing more from this flow.

    What the agent handles

Built for the questions between intent and action

    Qualifying questions

The ones you write, asked in conversation; every answer is in the transcript.

    Product answers

Sizes, specs, delivery and setup, from your site, catalog and the documents you upload.

    One next step

The product page or your booking link by text, during or after the call.

    A person on request

Transferred to a teammate in support hours; otherwise a ticket with the AI summary and the recording.

    What to measure

No lead follow-up numbers yet, so measure your own

Loop Voice's September 2026 benchmark covers checkout and post-purchase calls, and none of the published customer stories covers lead follow-up, so there's nothing to report yet. Track these:

    Minutes to first call
From form to first dial, counting only calling hours. If it grows, check the delay and the calling window.
    Leads reached
Leads who picked up at least once, out of everyone the flow called.
    Qualified leads
Answered calls where the lead met your criteria, counted from the call summaries.
    Next step taken
Clicks on the texted link in the SMS log, and the bookings or orders that followed.
    Opt-outs
Leads who asked not to be called. A rising share points at the form's wording or the agent's opening.

    FAQ

    Common questions

How fast should a lead get a call?

Within minutes, inside your calling hours. A few minutes' delay gives someone coming from a routing form time to pick a meeting slot first, and after-hours requests get their call when the window opens in the lead's time zone.

Which HubSpot events can start a lead call?

HubSpot contact, company, deal and ticket events can start Loop Voice flows, and the event picker includes lead triggers. Use an event only call-me requests produce, rather than one that fires for every new contact.

How does a lead book a consultation from the call?

The agent texts your booking link, such as your Calendly page, and the lead picks a time from your open slots.

Can a form outside HubSpot and Calendly start the flow?

Yes, through Zapier. Typeform's New Entry trigger, for example, fires when a form is submitted (Zapier's Typeform guide), and a filter step can hold back entries without the consent box ticked. Filters need a paid Zapier plan (Zapier on filters).

What does a lead follow-up call cost?

Nothing for calls nobody answers. An answered conversation uses about 1.5 credits, which works out to about $0.95 to $1.49 on monthly billing, and plans start at $119 a month for 120 credits (pricing).

Do lead follow-up calls need consent?

Yes. Treat it as a marketing call, since the agent recommends products, and AI-voiced marketing calls need prior express written consent. Call only people who agreed on your own form, never bought lists or cold leads, and have counsel check the wording; our guide to calling rules lists what a consent box needs.
